TERMS & CONDITIONS
By booking services with Arthurian Affairs ("we" or "us"), you ("Client") agree to the following terms and conditions. This agreement supersedes all prior understandings. Changes must be made in writing and signed by both parties.
1. RESERVATION & BOOKING
A non-refundable reservation fee is required to hold your date
If you cancel, reschedule, or breach this agreement, the fee will be retained as liquidated damages.
Any additional costs incurred up to cancellation are the CLIENT'S responsibility
3. CLIENT'S RESPONSIBILITY FOR PERMITS & ACCESS
You are responsible for obtaining all required permits, permissions, and venue access, including but not limited to permissions for:
Public parks
Listed buildings
Houses of worship
Private properties
You must provide proof of permissions upon request. Failure to secure access may result in reduced coverage or cancellation. Any fees, charges, or penalties arising from lack of permissions are your responsibility.
4. LOCATION LIMITATIONS & SAFETY
We are bound by the rules of your selected venues. You are responsible for negotiating or obtaining any special access or concessions
You guarantee that the shooting environment is safe. We may pause or halt the shoot if we judge conditions to be unsafe (due to weather, guest behavior, restricted access, etc.)
Equipment damage caused by guests or environmental conditions (e.g. rain damage) is your responsibility
5. SHOOTING TIME & ADDITIONAL HOURS
The agreed shooting time is specified in your booking
Overtime is charged at £100/hour, to be paid pre-event or on-the-day
6. CLIENT-CAUSED COMPROMISED COVERAGE
We are not liable for missed moments due to:
Client or guest tardiness
Adverse weather
Restricted lighting or access
Incorrect addresses or miscommunication
We will do our best but cannot guarantee coverage of specific individuals or shots.
7. PAYMENT SCHEDULE
Deposit of 20% due upon booking
Remaining balance due 8 weeks before the event
Failure to pay on time may result in cancellation, with the deposit retained
8. DELIVERY & POST-PRODUCTION
Edited images/footage delivered within 10 weeks post-event (up to 14 weeks in high season)
Final delivery will be made via secure online gallery or private link
Additional edits beyond agreed scope may incur extra charges
9. COPYRIGHT & USAGE
Arthurian Affairs retains copyright of all materials
Clients receive a non-exclusive license for personal use (printing, sharing, etc.)
We reserve the right to use images/videos for promotional purposes unless you specifically opt out in writing
10. LIMITATION OF LIABILITY
In case of illness, emergency, or equipment failure, we will try to find a replacement. If we can't, liability is limited to a refund of all payments received
In worst-case scenarios like data loss, our liability is limited to a refund of fees, prorated if partial deliveries occur
We are not liable for indirect losses (e.g. missed moments, lack of lighting, third-party print mistakes, etc.)
11. FORCE MAJEURE
We are not responsible for delays or cancellations due to unforeseen events beyond our control (e.g. extreme weather, government restrictions, emergencies). In such cases, we will offer to reschedule.
12. GOVERNING LAW
This agreement is governed by English Law
Disputes will be resolved in the jurisdiction of your/our local courts.
